Minutes note: The filing deadline was February 28, 2026; the group is now tracking late filers as days past the deadline accumulate. Currently in the $25 late-fee window; after 30 days past the deadline, the
penalty increases to $5 per day up to a maximum of $100 in daily late fees.
Goal is to get all remaining filings in during the $25 late-fee phase.
Late fees may be waived when the delay was caused by administrative issues (e.g., incorrect email on file and the filer did not receive the original notice), assessed case-by-case.
Outstanding filings and data cleanup
Rough estimate given: about 94 filings were still outstanding at one point.
Many outstanding filers were board members (not employees), which makes contact info harder to maintain due to moves/job changes.
Brad Houston is maintaining/updating the database and handling electronic sending.
Coordinate (Peter + Carmen) to send the required 15-day notices to appointing authorities.
Locate/access the appointing-authority list to correctly route notices (mayor’s office vs common council).
Continue outreach to remaining late filers with the goal of resolving filings within the $25 late-fee window. | | | |
